Coast-to-Coast IT Asset Consolidation

Managing 100 Locations Through a Corporate Merger

When two major U.S. corporations came together, consolidating their IT environments became a nationwide operational challenge.

Approximately 100 locations across the United States were involved. Redundant systems needed to be decommissioned, sensitive data had to be securely destroyed, and remaining IT assets needed to be packed and transported to a central facility.

Adding to the complexity, each location had a strict two day closure schedule.

The project required one coordinated process capable of maintaining security, chain of custody, scheduling, and consistent execution across every site.

The Challenge: Consolidating IT Assets Across Nearly 100 Locations

Large corporate mergers create significant IT asset management challenges.

When infrastructure from two organizations comes together, redundant equipment needs to be identified and decommissioned while assets that remain in service or retain value need to be handled appropriately.

For this project, that work was distributed across approximately 100 U.S. locations.

The scope included:

  • Decommissioning redundant IT systems
  • Secure on site hard drive shredding
  • Secure packing of remaining IT assets
  • Transportation to a central facility
  • Chain of custody throughout the process
  • Complete project documentation

The scale of the project was only part of the challenge. Each location also needed to be completed within a two day closure schedule.

Without coordinated execution, the project faced the potential for delays, additional costs, security risks, and disruption to the merger process.

One Point of Coordination Across a Nationwide Project

Guardian served as the single point of contact for execution across all locations.

A dedicated project management team coordinated the nationwide operation, providing a consistent process from the first location through the final site.

This centralized approach helped ensure that teams, schedules, security procedures, logistics, and documentation remained aligned throughout the project.

Instead of treating nearly 100 locations as separate projects, Guardian managed them as part of one coordinated national program.

A Strict Two Day Schedule at Every Location

Multi site projects become considerably more complex when every location operates under a compressed schedule.

For this consolidation, Guardian adhered to the required two day closure schedule at every site.

Maintaining that schedule required coordination between project management, onsite teams, data destruction operations, packing, transportation, and documentation.

The result was 100% compliance with the project schedule across approximately 100 locations.

Secure Data Destruction On Site

Data security remained a central requirement throughout the consolidation.

Hard drives designated for destruction were shredded on site under controlled procedures. This allowed sensitive data to be destroyed before those devices left the location.

For assets being consolidated rather than destroyed, Guardian provided secure packing and transportation to a central facility.

This combination allowed different asset streams to be managed within the same nationwide project while maintaining the appropriate security procedures for each.

Chain of Custody From Site to Final Reporting

Physical execution was only one part of the project.

Guardian maintained chain of custody and documentation throughout the process, providing accountability as equipment moved from individual locations through destruction, packing, transportation, and final reporting.

For a project involving nearly 100 locations, maintaining a standardized documentation process was essential to keeping the entire program organized and auditable.

The Result: A Nationwide Consolidation Delivered Ahead of Schedule

Guardian successfully completed the nationwide consolidation ahead of schedule.

Across approximately 100 locations, the project achieved:

  • Two day closure schedules at each location
  • 100% compliance with project schedules
  • Secure on site hard drive shredding
  • Secure packing and transportation to a central facility
  • Chain of custody and project documentation
  • Coordinated execution through a dedicated project management team

The newly merged organization was left with a unified and optimized IT asset portfolio while maintaining security and operational continuity throughout the consolidation.

Nationwide Execution for Complex IT Asset Projects

Corporate mergers, acquisitions, office closures, technology refreshes, and infrastructure consolidations can quickly create complex multi site IT asset projects.

For ITAD providers, VARs, and MSPs supporting these initiatives, execution needs to remain consistent regardless of how many locations are involved.

Guardian provides nationwide onsite execution for secure data destruction, IT packing and logistics, data center services, and multi site projects, helping our partners extend their capabilities without having to build field operations in every market.

From a single location to approximately 100 sites across the country, the objective remains the same: coordinated execution, secure handling, and complete accountability.
