What Is White Glove IT Logistics?

White glove IT logistics involves the preparation, packing, handling, transportation, and delivery of technology equipment according to an agreed project scope. Planning considers the equipment’s physical characteristics, access requirements, delivery schedule, and documentation needs.

For a data center relocation or enterprise equipment move, the logistics plan connects the work at the pickup location with the requirements at the receiving site. Guardian coordinates these activities around the equipment, locations, and timeline defined for the project.

Equipment & Project Requirements

  • Servers, storage, and networking equipment
  • Enterprise IT equipment and peripherals
  • Equipment quantities, dimensions, and weight
  • Pickup and delivery locations
  • Site access, loading, and receiving requirements
  • Target dates and documentation requirements

SERVICE SCOPE

IT Packing, Handling & Transportation Services

Each move has its own requirements. The approved scope defines which services Guardian will provide and how responsibilities will be coordinated at each location.

Guardian Data

Onsite Packing & Preparation

Plan packing around equipment dimensions, weight, configuration, and handling requirements. The scope can include protective packing, palletization, or custom crating where required for the shipment.

Guardian Data

Equipment Handling

Coordinate equipment movement from the designated pickup area to the loading point and through the agreed delivery handoff. Site access, elevators, loading docks, and receiving arrangements are considered during planning.

Guardian Data

Transportation Coordination

Define transportation requirements based on shipment size, route, pickup and delivery windows, and site restrictions. LTL and full truckload arrangements can be evaluated as part of the project scope.

Guardian Data

Chain of Custody Documentation

Establish the handoff records and shipment documentation required for the move. Confirm equipment identification, custody records, and delivery documentation during scoping so the expected records are clear before pickup.

GUARDIAN CAPABILITIES · OPTIONAL MONITORING

Real Time Shipment Visibility for Critical IT Equipment

Pickup and delivery confirmations describe the beginning and end of a shipment. Some projects also require visibility into location and handling events during transit.

Guardian’s optional Real Time Tracker combines live GPS tracking, sensor-based event detection, shipment alerts, and supporting custody reports. It is available for individual high-value assets, palletized shipments, LTL freight, and full truckloads.

For a time-sensitive equipment move, this information can support coordination with receiving teams. For a shipment with additional monitoring requirements, sensor records can help identify events that need review.

Location. Handling Events. Documentation.

Monitoring adds information about the journey to the agreed logistics scope.

Discuss the shipment configuration and monitoring requirements with Guardian during planning.

Capability Information Provided Project Relevance
Live GPS tracking Shipment location during transit Support pickup, transit, and receiving coordination.
Impact and tamper indicators Sensor events involving impacts, movement, and light exposure Flag events that may warrant investigation.
Shipment alerts Notifications involving route deviations, unexpected delays, or handling events Help teams assess exceptions and coordinate a response.
Custody reports Supporting shipment and custody records Support project review and documentation requirements.

Sensor alerts identify events for investigation. An alert alone does not confirm equipment damage or tampering.

GUARDIAN CAPABILITIES · OPTIONAL COVERAGE

Optional Shipping Protection for IT Equipment

Equipment handling, shipment monitoring, and financial protection address different requirements within an IT equipment move.

Guardian offers optional all-risk Shipping Protection for eligible technology shipments, subject to policy terms, conditions, and exclusions. An individual Certificate of Insurance is available for each eligible shipment.

Eligibility, equipment valuation, coverage requirements, and applicable deductibles should be reviewed when defining the shipment scope.
